The information we collect
Depending on the service you use, we may collect the following categories of personal data:
- Your name, date of birth and NHS number
- Your home address, telephone number and email address
- Details of your GP and other healthcare professionals involved in your care
- Information about your medicines, allergies and medical history
- Records of the NHS and private services we provide to you, including Pharmacy First consultations, prescriptions dispensed, contraception services, blood pressure checks, travel vaccinations, ear wax microsuction, weight management support and vitamin B12 injections
- Payment information where you pay for a private service
- Information you provide when you contact us or complete a consultation form
Health information is treated as a “special category” of data and is given a higher level of protection.
How we use your information and our lawful basis
We process your personal data so that we can provide safe and effective pharmacy care. The lawful bases we rely on under UK GDPR are:
- Provision of healthcare — to dispense your prescriptions, deliver NHS services and provide private services. For health data we rely on Article 9(2)(h), the provision of health and social care.
- Legal obligation — to meet our duties as a registered pharmacy, including record-keeping, controlled drugs requirements and reporting obligations.
- Contract — where you purchase a private service from us.
- Consent — for certain activities, such as sending you optional reminders. You can withdraw consent at any time.
- Legitimate interests — for the day-to-day administration of the pharmacy, provided this does not override your rights.
Sharing your information
We only share your information where it is necessary and lawful. This may include:
- The NHS and NHS Business Services Authority, for the management and reimbursement of NHS services
- Your GP practice and other healthcare professionals involved in your care
- NHS commissioners and regulators, including the General Pharmaceutical Council (GPhC), where required
- Suppliers and IT providers who process data on our behalf under strict contractual safeguards
We do not sell your personal data and we do not share it for marketing purposes without your consent.
How long we keep your information
We keep your records for as long as required by NHS and professional guidance. In most cases pharmacy records are retained for a minimum of eight years after the last entry, and longer for children and certain treatments. Records are then securely destroyed.
Keeping your information secure
We hold your information securely using a combination of technical and organisational measures, including restricted access, secure systems and staff confidentiality training. All members of the pharmacy team operate under a strict duty of confidentiality.
Your rights
Under data protection law you have the right to:
- Be informed about how your data is used
- Access the personal data we hold about you
- Request correction of inaccurate or incomplete information
- Request erasure of your data in certain circumstances
- Restrict or object to the processing of your data
- Data portability in certain circumstances
- Withdraw consent where processing is based on consent
